Contract Administrator

Position Title: Contract Administrator

  1. Objective:
  • Contribute and facilitate activities of the Project Controls Department in relation to the administration of Cukaru Peki Project related contracts.
  1. Primary activities and tasks include the following, other duties may be assigned:
  • Administer and coordinate all activities and functions of awarded contracts to include: Contract Site Instructions / Work Instructions, Change Order Management, Variation Order Requests, Requests for Pricing, Back Charge Procedures, Claims Management & Negotiation, Contract Variations;
  • Administer and Coordinate all aspects of Contract Invoicing to include: Provisional Claim Analysis, Progress Analysis, Unit Rate Confirmation, Advanced Payments and Advanced Payment Recovery, Retention and Retention Release, Withholding Tax (if applicable), Administer Payment Approval Process, Issue and manage Payment Certificates;
  • Manage and administer Contract Closeouts for each Project Contract;
  • Act as the central point of contact with all communication and instruction to various contractors and vendors;
  • Conduct & Chair weekly and monthly meetings with each Contractor;
  • Ensure compliance with all contractual requirements to include, but not limited to: Bonds, Insurance and Permits;
  • Report status of current contract processes to management;
  • Analyse potential risks that contract changes may pose to the organization;
  • Stay up-to date with legislative changes and coordinate with the legal department as needed;
  • Ensure all deadlines and conditions described on contracts are met;
  • Maintain organized system of physical and digital records;
  • Work closely with other department and Project personnel to provide needed assistance as required;
  • Reports timely and accurately to his superior and is responsible for data accuracy;
  • Adhering  to ethical principles of the profession and acting in accordance with company policies and procedures;
  • Performing  other duties within their education at the request of the immediate superior;
  • He/she is obliged and responsible, within the scope of his/her work, to implement measures for safe and healthy work in accordance with the safety and health at work, other relevant regulations and the Rules on Safety and Health at Work;
  • Observing environmental measures and fire protection within the scope of his/hers duties;
  • Participating in ensuring the functioning of the quality system in accordance with quality standards.

  • This position reports to Project Control Manager.

  • This position has no supervisory responsibilities
  1. Education and/or Experience, Certificates:
  • Bachelor’s degree in Law / Economy related discipline or academic equivalencies degree required
  • Excellent English Level (B2/C1)
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.
  • At least two years of working experience it this or similar work field

  • Excellent reading and language comprehension
  • Ability to work with a team at all levels of an organization
  • Effective ability to negotiate and execute contracts
  • Analytical thinking and organisation
  • Practical knowledge in the field of business correspondence and documentation
