Executive Asistant

Position title:    Executive Asistant

  1. Objective: Contribution to business activities of the Employer in Bor.
  1. Primary activities and tasks include the following, other duties may be assigned:
  • Manages daily office activities: incoming and outgoing communication, scheduling of meetings, maintance of complex filing system and data records, overview of incoming documentation, document preparing and reporting;
  • Provides a high level of administrative support to Executive Board/Managers, including an obligation to provide a key contact of cross-Sector cooperation and organization of different events within the department;
  • Controls the calendar of Executive Board with timely prioritizing in order of focusing attention of Executive Board to critical and strategic issues;
  • Oversees and coordinates communication between Executive Board and other managers, drafts correspondence, tracks and reviews requests and identifies their significance, guarantying that all tasks are directed towards competent persons and solved;
  • Manages confidential information for the Executive Board, including direct and frequent interaction with directors and managers;
  • Gathers information, on behalf of the Executive Board, studies different cases, prepares reviews and other, coordinating with other departments in order of ensuring necessary material;
  • Prepares and organizes correspondence, reports, presentations, plans and organizes meetings;
  • Prepares and organizes business trips, meetings and schedules, arranges various visits during business trips, reserves transport, accommodation and other;
  • Prepares meeting materials for the Executive Board/Managers (presentations, speeches and similar), coordinating with other staff in regards to theme research, reporting and presentation material;
  • Prepares meeting minutes, various material for the Executive Board, management meetings and other boards/groups when demanded;
  • Performs daily office duties: copying, administrative support, file management in accordance with company rules, takes care of office cleanliness and maintance in accordance with practise of cost minimizing and business requirement needs;
  • Communicates with external service suppliers (cleaning, maintenance of office premises and equipment), in order of acquiring a satisfactory level of services in accordance with company standards;
  • Looks after presentation of Rakita, quality of that presentation and continuous affirmation of Rakita in contact with business partners;
  • Coordinates equipment purchase and manages related costs;
  • Documents various processes and procedures in regards to own duties and responsibilities;
  • Ensures quality services by improving results through learning, evaluating and redesign of processes and implementing changes;
  • Reports timely and accurately to his superior and is responsible for data accuracy;
  • Adhering to ethical principles of the profession and acting in accordance with Employer’s policies and procedures;
  • Performing other duties within their education at the request of the immediate superior,
  • He/she is obliged and responsible, within the scope of his/her work, to implement measures for safe and healthy work in accordance with the safety and health at work, other relevant regulations and the Rules on Safety and Health at Work;
  • Observing environmental measures and fire protection within the scope of his/her duties;
  • Participating in ensuring the functioning of the quality system in accordance with quality standards.
  1. Location and employment duration:
  • Bor, 1 year.
  1. Reporting Responsibilities:
  • This position reports to Chief Financial Officer.
  1. Department:
  • Finance Department.
  1. Supervisory Responsibilities:
  • This position has no supervisory responsibilities.
  1. Education and/or Experience, Certificates:
  • Acquired higher education in field of social or human sciences on basic academic or vocational studies;
  • Minimum 1 year of work experience in financial administration;
  • Excellent English level and
  • Excellent computer skills.
  1. Other Skills and Abilities:
  • Excellent level written and verbal communication skills;
  • Demonstrated analytical and proactive approach to problem-solving with strong decision-making capability;
  • Proven ability to handle confidential information with discretion;
  • Excellent planning and organization skills to meet deadlines;
  • Able to perform job function with a minimum of daily supervision;
  • Ability to learn effectively and actively,
  • Co-operative and supportive team player.
